Office Manager/Controller (Edmonton) – Commercial Real Estate – No Longer Available

Our client, a well established commercial real estate brokerage is adding to their team. Reporting to the President, the Office Manager/Controller will perform a variety of duties, including full cycle accounting duties (payroll, accounts receivable, accounts payable, taxes, cash disbursements and receipts, general journal, internal organizational support of the associates). Along with this, the position also provides conveyancing, HR coordination, and general support to the President and partners,  regularly communicating with other brokerages, law firms, associates, staff and financial institutions.

Duties:

  • Full cycle accounting
  • Open new real estate files, review lease agreements and real estate offers, noting all critical dates
  • Communicate and follow up on critical dates with Associates and Assistants
  • Prepare real estate conveyancing packages to send to law firms, follow up on closing dates and communicate to Associates
  • Prepare invoices to both internal and external vendors
  • Update and maintaining vendor database and files
  • Communicate with vendors regarding invoices, issues and resolve any discrepancies
  • Regularly review the status of accounts receivable ensuring accounts are kept current and short payments are resolved in a timely fashion
  • Prepare monthly bank reconciliations
  • Prepare payroll
  • Prepare government remittances, GST, payroll and corporate tax
  • Prepare year-end reconciliations including T4’s and other reporting requirements
  • Prepares journal entries by compiling and analyzing account information
  • Maintains accounting controls by following trust accounting rules and regulations
  • Oversee all administrative functions of the brokerage and create policies and procedures
  • Reconciles financial discrepancies by collecting and analyzing account information
  • Maintains financial security by following internal controls
  • Prepares special financial reports by collecting, analyzing, and summarizing account information and trends
  • Assist in answering phones and accepting mail deliveries
  • Other duties as may be assigned from time to time

Competencies:

  • Must have excellent communication skills
  • Must have excellent customer relations skills
  • Must be detail orientated
  • Extensive computer knowledge including Word, Excel, and Outlook
  • Knowledge of office practices and procedures
  • Skill in key boarding, filing, and entering data with accuracy
  • Ability to communicate effectively, both orally and in writing
  • Ability to work under limited supervision
  • Ability to stay productive even during slow times
  • Ability to create and maintain an organized office environment

Demonstrated Success Patterns:

  • Full cycle accounting experience
  • 3 + years of Real Estate experience
  • Must be tech-oriented and very computer literate
  • Have Simply/Sage 50 proficiency
  • Comfortable being a part of a company experiencing rapid growth
  • Advanced data entry skills and proven ability to process high volumes of invoices and payments
  • Strong organizational skills with the ability to perform with independence and accuracy in a deadline driven role
  • Strong team player with a flexible work style, exceptional communication skills and ability to adapt quickly and effectively to changing work demands
  • Trust accounting and real estate conveyancing in a real estate office or law firm
